The short answer

Many Indian centres run on spreadsheets for inventory and billing, WhatsApp groups for bookings and requests, and accounting software such as Tally or Zoho Books for the ledger. That stack is cheap and familiar, and accounting software handles GST returns well. What it lacks is one record per client: the agreement, the escalation, the PO, the invoice and the payment live in different places, which is where revenue leaks. rivonOS runs members, centre teams, agreements, GST invoices and collections on one record, and keeps your accounting software as the ledger.

How we compared

We make rivonOS, so we are not neutral. "Spreadsheets, Tally and Zoho" here means the common do-it-yourself stack: Excel or Google Sheets for inventory and billing, WhatsApp for bookings and requests, and accounting software for the ledger. Facts about Zoho Books come from Zoho Books pricing (India) and Zoho Books, read 14 October 2026. We make no claims about Tally beyond it being accounting software that many Indian operators use.

Zoho Books' India pricing ranges from a free plan to ₹7,999 a month for the Ultimate plan billed yearly (₹9,599 monthly), exclusive of taxes, per its pricing page, read 14 October 2026.

Where the gaps are

  • No single record per client. The agreement, the escalation date, the PO balance and the invoice live in different files, so an escalation or a PO expiry is easy to miss. See where flex revenue leaks.
  • Double bookings and lost guests when bookings and visitors run on WhatsApp.
  • Retyping. Invoices are rebuilt every month from a spreadsheet into accounting software.
  • No portfolio view. Occupancy, revenue, dues and renewals need a manual report each month.

Where the do-it-yourself stack is stronger

  • Cost and familiarity. Spreadsheets and WhatsApp cost nothing extra, and your team already knows them.
  • Accounting. Accounting software is the right place for the ledger and GST returns, and Zoho Books lists IRN e-invoicing today. GST e-invoicing (IRN) is in development and coming soon in rivonOS.
  • Flexibility for a single small centre with a handful of clients.

Where rivonOS is stronger

  • GST invoices under CGST Rule 46, with CGST and SGST or IGST worked out from the place of supply, and credit and debit notes under Rule 53.
  • TDS on receipts: a payment that arrives net of TDS settles the invoice, so no false balance is left to chase.
  • Invoices drafted from the agreement and checked against the client's purchase order before they are issued.
  • Pricing per centre, in rupees, with unlimited staff users and members: Core from ₹4,900 per centre a month billed yearly (₹5,900 billed monthly), all packs from ₹12,900, plus 18% GST and a one-time set-up of ₹15,000 per centre.
  • Data hosted in AWS Mumbai, kept apart and encrypted per operator, with the option of your own encryption key, a database of your own, or rivonOS in your own cloud account.
  • Set-up by the rivonOS team from your existing files, and support in IST.

Door access control, native iOS and Android apps, and connections to Tally, Zoho Books, Razorpay, e-signature, WhatsApp and GST e-invoicing (IRN) are in development and coming soon in rivonOS; they are not live today.

Can you use both

Yes, and most operators should. Keep your accounting software as the ledger; rivonOS drafts the invoices from the agreement, records receipts and TDS, and exports invoices and receipts as CSV for your books today. Direct connections to Tally and Zoho Books are in development and coming soon.

Questions

When is a spreadsheet enough? For one small centre with few company clients and no purchase orders, a spreadsheet and accounting software can be enough. Once you bill companies against POs, have escalations, or run more than one centre, the gaps above start to cost money.

Does rivonOS replace Tally or Zoho Books? No. It runs everything up to the invoice and the receipt, and your accounting software stays the book of record.

How long does the switch take? We set rivonOS up from your existing spreadsheets. Book a demo and we'll agree a start date on the call.
