Coworking CRM and availability

Know what you can sell before the client finishes asking.

A generic CRM tracks the conversation. rivonOS ties the client's requirement to real inventory across your centres, including seats that free up later, so the first offer is one you can keep.

“Which centre has 240 seats from January?” should not take a day of calls.

An enterprise requirement arrives on a Monday. By Wednesday, sales is still asking centre managers what is free, finance is asking what price was promised, and the broker has sent the same client to two other operators.

  • Availability lives in a spreadsheet each centre updates when it remembers.
  • Seats that free up in three months are invisible, so the deal goes to someone who can start on time.
  • Two salespeople quote the same client because the lead came in twice.
  • The requirement changes from 200 seats to 240 and nobody can say which version the quote was built on.

What a slow answer costs

Enterprise requirements are large and few. Losing one to a faster operator, or quoting seats someone else has already promised, is expensive.

₹9.42 Cr

of contract value in one 240-seat, 36-month requirement, before escalation.

240 seats × ₹10,900 a seat × 36 months = ₹9.42 Cr. With the 8% annual escalation it is ₹10.19 Cr.

82 or 250

seats at Baner for a January start, depending on whether you can see the seats that free up.

Baner has 82 seats free now and 168 more from January 2027. A spreadsheet of today's vacancies shows 82 and the centre drops out. rivonOS shows both, so Baner stays in the running.

How the Northstar requirement moves

  1. Lead

Northstar Labs comes in as an enterprise referral. rivonOS checks it against existing leads, and Rhea Malhotra in Pune owns it.

    4 Oct 2026

  2. Requirement

240 seats, Pune, from 1 January 2027, for 36 months, in Kharadi or Baner, with a budget of ₹11,500 to ₹12,500 a seat. Each revision is saved.

    4 Oct 2026

  3. Ranked availability

Three centres match. Kharadi has 260 seats from Jan 2027. Baner can do it in two phases. Hinjawadi starts a month late.
  4. Site visit

Rhea books the Kharadi visit with Meera Shah from the opportunity, and rivonOS sends a reminder before it.
  5. Quote

Kharadi is selected for 240 of its 260 seats. The quote starts from the price book, not from memory.

A pipeline leadership can believe

When every requirement is tied to real inventory and a real price, the pipeline stops being a list of hopes.

  • 1,240

    Move-ins you can plan for

Seats moving in over the next 90 days, plus seats free today and in 30, 60, 90 and 180 days, by centre, city and region.

  • 1 day

    From lead to quote

Northstar went from first enquiry to a priced quote the next day, with every step on the opportunity.

  • Deals you can trace

Every requirement revision, visit and quote is on the opportunity and owned by a named person.

  • Scope that fits the job

Sales sees their own deals, managers their team, regional heads their region.

Questions operators ask

Can we record leads that come through brokers?
Yes. Broker is a lead source, so you can see which deals came through which broker, alongside referrals, direct enquiries and your own outreach.
Does availability include seats that are on notice or about to free up?
Yes. Every section of a floor has an available-from date. When a client's seats free up on a known date, the search counts them from that date, so a January requirement can be matched to seats that are occupied today.
Can sales executives see the floor price?
Only if their role allows it. By default, sales sees the rack and target price and the floor is hidden. Finance and commercial leadership see all three.
How are duplicate leads handled?
rivonOS checks new leads against existing ones and flags likely duplicates, so two people do not chase the same client with two different prices.
Who can see which deals?
Access follows scope. A sales executive sees their own deals, a sales manager their team's, a regional head their region's, and leadership the whole portfolio.
